Job Brief

We are seeking a highly motivated and organized Front Office Manager to join our client’s growing team. The ideal candidate will oversee all aspects of front desk operations, provide administrative support to the management team, and ensure a positive and welcoming environment for clients and visitors.

What You Will Be Doing

  • Manage Office Operations: Maintain a clean, organized, and efficient office environment.
  • Administrative Support: Provide administrative assistance to the management team and other staff members.
  • Record-Keeping: Maintain accurate and up-to-date records, files, and databases.
  • Data Entry: Perform data entry tasks accurately and efficiently.
  • Correspondence: Manage incoming and outgoing mail, emails, and phone calls.
  • Reception Management: Manage the front desk, ensuring a warm welcome to clients and visitors.
  • Client Relations: Develop and maintain positive relationships with clients, responding to their queries and concerns.
  • Appointment Scheduling: Schedule appointments, meetings, and events, ensuring accurate records and reminders.
  • Visitor Management: Manage visitor access, ensuring security protocols are followed.
  • Telephone Etiquette: Answer phone calls professionally, taking messages and directing calls as necessary.
  • Communication: Maintain open and effective communication with colleagues, management, and clients.
  • Teamwork: Collaborate with colleagues to achieve shared goals and objectives.
  • Problem-Solving: Resolve administrative and front desk issues promptly and efficiently.

The Ideal Candidate

  • Degree in Business Administration, Office Management, or a related field.
  • At least 2 years of experience in an administrative and front desk role.
  • Excellent communication, organizational, and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and analytical skills.
  • Friendly, approachable, and customer-focused.
  • Proactive, efficient, and able to work under pressure.
  • Reliable, trustworthy, and able to maintain confidentiality.
