Job Brief
We are hiring for a Logistics/Export Documentation Officer who will be responsible for preparing, managing, and coordinating all export-related documentation and logistics processes of our client to ensure the timely and compliant shipment of goods. The role involves close collaboration with shipping lines, freight forwarders, customs authorities, vendors, and internal teams to support smooth export and import operations.
What You Will Be Doing
- Prepare, review, and process all export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, and other commodity-specific documents.
- Ensure accuracy and compliance of export documents with regulatory and customer requirements.
- Address and resolve discrepancies related to export documentation promptly and effectively.
- Liaise with shipping lines and freight forwarders to coordinate cargo bookings, vessel schedules, and delivery timelines.
- Submit shipping instructions to carriers such as MSC, CMA CGM, and Maersk.
- Track shipments and provide timely updates to internal and external stakeholders.
- Support customs clearance processes by providing necessary documentation and responding to customs inquiries.
- Complete and submit regulatory forms and applications, including NXP, Form M, SONCAP, and insurance documentation.
- Maintain accurate records of all export and import transactions for audit and inspection purposes.
- Ensure proper filing and retrieval of logistics and trade documentation.
- Prepare and maintain MIS reports for export and import activities.
- Prepare vendor invoice statements and submit to the accounts department for payment processing.
- Maintain proper records of vendor payments and related documentation.
- Coordinate effectively with sales, logistics, finance teams, clients, shipping lines, and vendors to ensure seamless operations.
- Communicate proactively to resolve issues and support efficient trade execution.
The Ideal Candidate
- Bachelor’s degree or HND in Logistics, Supply Chain Management, Business Administration, or a related field.
- Proven experience of at least 3 years in export documentation, logistics operations, or freight forwarding.
- Strong knowledge of export/import documentation and Nigerian trade procedures.
- Familiarity with NXP, Form M, SONCAP, insurance processes, and shipping instructions.
- Excellent attention to detail and documentation accuracy.
- Strong organisational and record-keeping skills.
- Proficiency in Microsoft Excel and basic reporting.
- Effective communication and problem-solving abilities.
- Working days: Monday – Saturday (8am – 6pm)
